Job Description
The Art Museum Operations Assistant supports daily operations and events at the Art Museum and Galleries, including exhibitions, campus events, educational programs, and public programming. Reporting to the Visitor Services and Operations Manager, this position schedules museum attendants, manages external reservations for the Reeves Museum and Watson Galleries, and ensures policy compliance. This outward-facing role involves close coordination with event organizers and museum staff, requiring strong customer service, professionalism, organization, and communication in a collaborative and creative environment.

Essential Functions: - Assists in the coordination of work schedules, ensuring proper coverage for shifts through effective communication with team members. Assists supervisor with managing shift changes, arranging replacements, and maintaining an organized schedule to meet operational needs.
- Assists VSOM with onsite operations, including the opening and closing of Art Museum and Galleries sites.
- Provides on-site support during public hours at Art Museum and Galleries locations when full-time staff are not present, serving as the primary point of contact for visitors and operational needs.
- Fields external reservation inquiries and requests and schedules external reservations. Initiates all administrative functions necessary for external reservations, including but not limited to formal reservation completion, event registration, setting up appropriate furniture and technological features, and listing on 25Live.
- Reviews and implements site policies, resources, and procedures with external reservation clients and sponsored events
- Assists with coordinating events and class visits for the Art Museum and Galleries.
- Ensures museum policies and procedures are upheld during events and external reservations; and serves as an on-the-ground contact for the organizing group should any questions or issues arise during the event.
- Assists with managing social media to promote museum events.
- Supports events' audio and visual technical needs, including the arrangement and execution of equipment rentals, sound and livestream checks, and presentation dry-runs.
- Supports events' physical needs, including the procurement, setup, and breakdown of event furniture.
- Supports museum projects and assists with campus-wide initiatives and annual events that promote the museum.
- Responsible for coordinating, tracking, and maintaining external event reservations on the master Museums calendar for the Reeves Museum of Ceramics and Waston Galleries.
- Assists with the setup and breakdown of all events and external reservations at the Reeves Museum of Ceramics and Watson Galleries.
- Assists with the collection and analysis of visitor feedback.
- May represent the museum in University meetings, task forces, or forums for coordinating University events.
- Other duties as assigned.
Work Schedule: Tuesday through Saturday, with Saturday (9:45 a.m.-5:15 p.m.) as the only consistently required day. Weekly schedules may vary depending on departmental needs and events.
Hourly Pay : $19.00 per hour.
Minimum Qualifications: - A high school diploma or equivalent is required (Associate's Degree preferred)
- Experience working in an event coordination role
- Experience working in hospitality, public schools, museums, galleries, or academic institutions is preferred.
- Must be detail-oriented, have the ability to multi-task, and possess strong organizational skills.
- Must be a self-starter and have the ability to work independently and in a professional, discrete, and courteous manner with staff and clients.
- Should be able to manage multiple projects, priorities, and deadlines. Must be able to work in a fast-paced environment and remain calm and effective during high-stress situations.
- Must be able to respond to security or emergency situations calmly and with good judgment.
- Must be able to work Saturdays and some evenings.
