Position Summary
The Bookkeeper and Payroll Specialist will be a member of the Missionwell team, providing support to Missionwell and its business partners with accounting and payroll needs.
Primary Bookkeeping Responsibilities
- General bookkeeping and accounting tasks, maintaining related documentation files.
- Assist with the set-up of new clients and donors as needed.
- Record and post cash receipts.
- Send out 1099’s appropriately.
- Receive and organize invoices, bills, check requests and expense reports, reviewing for completeness and compliance with client policy, routing for approvals and posting.
- Prepare invoices and customer statements.
- Prepare cash disbursements and routing for approvals.
- Monitor bank activity and accessing images as needed via online access.
- Prepare bank account and other account reconciliations.
- Enter payroll and prepare associated journal entries.
- Prepare schedules as requested for monthly close and associated journal entries.
- Complete tax and compliance forms for government entities.
Primary Payroll Responsibilities
- Process semi-monthly payrolls with efficiency and accuracy.
- Manage workflow to ensure all payroll transactions are processed accurately and timely for multiple payrolls.
- Reconcile payroll prior to transmission and validate confirmed reports.
- Understand and execute proper taxation of employer paid benefits.
- Process correct garnishment calculations and compliance.
- Execute time and attendance processing and interface with payroll ensuring compliance with local and federal regulations.
- Process accurate and timely year-end reporting when necessary (W-2, W-2c, etc).
- Perform day-to-day client communication, report or status submissions and requests for information (i.e. timesheet reminders, timely approvals, payroll corrections, etc.).

- Maintain excellent communication with the team and business partners.
- Organize, create, and maintain up-to-date electronic files.
- Regularly collaborate with other teams and departments at Missionwell.
- Maintain accurate project action items with status updates in Missionwell’s project management tools; maintain accurate timekeeping.
- Keep informed of organizational announcements, activities, and changes via a regular reading of Missionwell’s communication tools and attendance at staff meetings.
- Maintain a professional development plan for yourself and present this to your supervisor for regular, quarterly review and support.
- Maintain a strict level of confidentiality in all aspects of the job.
- Attend and participate in staff and team meetings as requested.
- Fulfill other duties and responsibilities as requested or as assigned.
Requirements:
Qualifications
- 1 year experience in general accounting/bookkeeping, receivables, payables and payroll, and a bookkeeper certification, or equivalent combination of education and experience.
- Thorough understanding of payroll processing procedures and regulations.
- Computer literate with proficiency in accounting software, email, MS Office and a capacity to learn other programs as needed.
- Experience with Paylocity, ADP, Paychex, Summit, Gusto, and/or Bamboo is highly preferred.
- Excellent math skills and a friendly, easy relationship with spreadsheets and formulas
- Ability to effectively communicate verbally and via email.
- Ability to deal with problems in a positive manner and find effective solutions or know where to seek assistance.
- High level of attention to detail and accuracy of work

- Ability to work independently in an efficient and effective manner.
- Solid time management and organizational skills with the ability to adapt to change, multi-task and be flexible.
- A familiarity with or a willingness to learn about nonprofit accounting and an understanding of religious organizations and non-profits will give the candidate an advantage in servicing the clients.
Working Conditions and Physical Requirements The following abilities are required for the position:
- Work at a desk in an office or home-office setting; Sit at an office desk for extended periods of time.
- Work for extended periods of time at a computer, requiring the ability to send and receive information with necessary optical, auditory, and manual dexterity.
- Use a keyboard and mouse to enter, retrieve or transfer words or data information and/or move from screen to screen on the computer to view information.
- Strong written and verbal communication and interpersonal skills; comprehend and speak English.
- Display the reading skills necessary to proofread written material.
- Perform intermediate mathematical calculations.
