Job Description

Position: Executive Assistant to the CEO

We are looking for a detail-oriented and proactive Executive Assistant to support our visionary CEO. This exciting role allows you to work closely with the executive team in a dynamic healthcare marketing environment. As the CEO's trusted right hand, you will play a vital role in ensuring smooth day-to-day operations by organizing priorities, anticipating needs, and providing high-level support.

Our organization is committed to fostering a distinctive, service-centric culture, operating fully remotely to minimize our carbon footprint. We leverage cloud-based tools and technologies to collaborate effectively and maintain strong connectivity within our team. As a Certified B Corporation, we value sustainability, mutual respect, and wellness, which is reflected in our commitment to our 2050 Sustainability Pledge and our team-oriented approach.

By joining our team, you will contribute to shaping our impact, working alongside the CEO to drive bold, innovative solutions in the healthcare sector. If you thrive in a fast-paced, supportive environment and are excited to be the perfect complement to our visionary leader, we would love to hear from you!

The Ideal Candidate
Are you a seasoned professional who excels in a fast-paced environment? Do you have a knack for bringing order to chaos, anticipating needs, and providing top-notch support to high-level executives? If you have a bold mastery of your craft, a can-do attitude, and enjoy collaborating with entrepreneurs, we want to connect with you!

Our ideal Executive Assistant is:

Positive and Empowered: Your energy is infectious, and you approach challenges with optimism, maintaining an uplifting environment even in problem-solving situations. You take the initiative, confidently stepping in to support others and provide solutions without waiting for direction.

A True Executor: You capture every idea, no matter how small, and turn them into actionable plans. You have a talent for prioritizing tasks, distinguishing between what needs immediate attention and what can wait, ensuring nothing falls through the cracks.

An Exceptional Communicator: You listen intently, absorb information, and connect the dots. Whether it's verbal, written, or non-verbal communication, you ensure clarity in every message. Your ability to present information with precision helps guide decisions and fosters alignment among stakeholders.

A Collaborative Supporter: You're not just a gatekeeper; you're an advocate for the team. You create an inclusive environment where everyone feels supported and heard, acting as a bridge between the CEO and the team. By anticipating needs, vetting priorities, and managing details, you enable the CEO to focus on what matters most.

Responsibilities
As our Executive Assistant, you will play a key role in enhancing the CEO's impact, connecting the dots, and reinforcing structure in our rapidly growing environment. Your proactive approach and relentless drive for clarity will support established processes and the team, ensuring nothing is left to chance.

Your responsibilities will include, but are not limited to:

Daily Management of the CEO's World: Oversee the CEO's daily, weekly, and quarterly commitments, following communication best practices in all interactions with the team and other departments. Ensure the CEO is prepared and organized for all responsibilities by collaborating with their Personal Assistant, who handles errands and office distributions.

Strategic Alignment with EOS Methodology: Align daily tasks and projects with EOS principles, grasping the big picture and understanding how departmental needs intersect. Take detailed notes, organize priorities, and distribute action items to maintain alignment while proactively learning about the business dynamics to support the CEO effectively.

Idea Intake and Execution: Capture, prioritize, and develop actionable plans for the CEO's ideas, ensuring alignment with operational standards. Follow through on projects to ensure satisfaction with the end results, keeping processes organized and on track.

Email, Calendar, and Travel Management: Manage the CEO's schedule, prioritize emails, and take action on their behalf when appropriate. Coordinate travel logistics, including booking flights, hotels, and car services, while managing expense tracking for a seamless experience.

Event Planning and Logistics: Oversee the planning and logistics for in-person events, including the annual company retreat, client meetings, marketing events, conferences, and awards. Manage all details, from catering to shipping, with full accountability to ensure quality and follow-up.
