Job Description
Position Summary
Responsible for supporting and leading key aspects of the human resources, employee lifecycle, recruitment, safety, and training efforts across all five BellaVista offices.
Structure
Full-time, non-exempt. Reports to Director of HR, Training and Safety.
Functional Roles and Responsibilities
Human Resources
Gathers HR-related documentation at each office from employees as needed and returns them to corporate for proper filing.
- Distributes and reviews payroll forms with employees.
- Employee-requested state and federal form updates like W4, DE-4, direct deposit authorizations, etc. an
Supports Director of HR, Training & Safety with recruitment process, including:
- Posting open requisitions to different job boards.
- Scheduling IT assessments.
- Scheduling Teams, and/or in-person interviews.
- Requesting applicant driver license and MVR release form to submit for approval from auto insurance carrier.
Presents new hire orientations.
- Sends email reminders to hiring managers for field offer letters, weekly.
- Updating field offer letters for Director of HR, Safety & Training to present to hiring managers.
- Scheduling new hire orientations.
- Overseeing onboarding of new hires by presenting:
- Required federal and state forms, company policies overview, employee training, and company history.
Supports Director of HR, Training & Safety with employee engagement initiatives and events:
- Office BBQs, work anniversary recognitions, annual company events like summer picnic and holiday party.
- Ordering and delivering employee tenure gifts.
- Ordering, wrapping, and delivering employee birthday gifts.
- Scheduling Employee Engagement Committee meetings to review tasks prior to each annual event.
- Tracking meeting notes and to-do’s for each event and following up as needed with team members.
Conducts 30/60/90-day employee check-ins.
- Transcribes feedback in formal report to then be reviewed by President, SVP, and Director of HR, Training & Safety as needed for follow-up.
Maintains Uniforms/Branded Clothing Requests sheet.
- Keeps up to date with uniform inventory for each office.
- Order management with Valley Images.
- Uniform/branded clothing drop off and pick-up from Valley Images.
- Distribution of uniforms as needed for each office.
Drafts employee warning notice forms with assistance from the supervisor/superintendent for details.
- Updates Warning Notice Tracking sheet as needed.
Partners with Director of HR, Training & Safety on legal matters related to HR, such as discrimination claims, labor, or workers' compensation disputes.
- Compiles employee documents for alleged claims.
- Creates reports, as requested, for alleged claims.
Updates Team Photo display at each office as needed with new hires and separated employees.
Orders labor law posters as needed with updates to remain compliant with federal, state, and local employment laws and regulations.
Keeps up to date with changes in employment laws and regulations.
Safety
- Updates safety policies and procedures as instructed to do so by Director of HR, Training & Safety.
- Maintains accurate records of safety-related incidents by reporting them on the same day of injury.
- Maintains training records up to date as instructed to do so by Director of HR, Training & Safety.
- Ensures the availability of personal protective equipment (PPE), and safety gear, as necessary for each office - Keeps monthly inventory of PPE at each office and orders as needed.
- Coordinates driver eligibility by ensuring all required paperwork is received by new driver. Updates auto insurance carrier with approved new drivers and separated drivers.
- Updates GPS system’s online portal with required driver information as needed.
- Conducts monthly inventory of First Aid kits for each work truck and office; Requests approval for supplies order for First Aid kits; Once approved, proceeds to order and distribute supplies as needed for each first aid kit.
- Supports Director of HR, Training & Safety with Crew Safety check-ins, as needed.
- Responds to work-related injuries as needed.
- Conducts annual fire extinguisher inspections and refills as necessary for all office locations
Conducts monthly vehicle inspections
- Review and document the following at each inspection
- Overall vehicle condition
- New damage or excessive wear and tear
- Overall cleanliness – inside and out
- Condition of tire treads – recommends replacement as necessary
- Oil levels
- Condition of rear bumper
- Stability of bed rails for tie down purposes
- Confirm the following are in each vehicle
- Fleet insurance card
- Vehicle registration
- First aid kit
- PFR sticker on license plate
- Quadrant map binder
- SDS binder
Training
Presents, updates, and distributes weekly training topics and quizzes.
- Develops new trainings with the assistance of superintendents
- Updates previous trainings as necessary
- Manages the training calendar and adjusts as needed
- Adjusts schedules based on urgency of current issues as evidenced by WC claims
Updates annual employee classification reviews.
- Update the training tracking sheet per the classification review sheet that is updated by the Superintendents.
- Provides a monthly, succinct report for all employees on current classifications, assigned training topics, and projected training plan / timeline for execution
- Recommends timely employee reviews for classification changes and salary increases based on training plans
Employee training and certifications.
- Once Tuesday Shorts, Weekly Plant Quizzes, and Weekly Training topics are graded and the Weekly Training Checklist is updated
- Follows-up with employees and Superintendents/Supervisors in the field if training documentation is missing.
- Emails or hand delivers blank copies of missing training quizzes to Superintendents or employees with missing documentation
- Follows-up weekly with Superintendents on required re-do quizzes for all employees scoring less than 100% on safety and training related quizzes – re-dos for plant quizzes will not be required
Qualifications
- Minimum of 5 years’ experience in Human Resources, safety, training, data entry, and general or relevant degree.
- Typing and 10-key skills at productive speed or above.
- Strong attention to detail and accuracy in data entry and record-keeping.
- Must have a good understanding of modern business practices and procedures, elements of correct English usage, grammar, spelling, vocabulary, punctuation, and basic mathematics.
- Effective oral and written communication skills in English required.
- Proficiency in QuickBooks software applications and Microsoft Excel, Word, and Outlook is desired.
- Excellent organizational skills and the ability to maintain effective working relationships with others.
- Good communication skills to interact with vendors and colleagues effectively.
- Ability to be prompt, accurate, confidential, and cordial in assisting with questions.
- Ability to work independently and manage multiple tasks within deadlines.
- Ability to be flexible and adapt to changes in an organized manner.
- Ability to maintain professional demeanor in a setting with interruptions (phone and people).
- Experience working in a multi-tasking environment.
