We are looking for a motivated and organized Office Administrator to join our team and contribute to the smooth operation of our office.
Position Overview:
As an Office Administrator at Tri State Gate, you will play a key role in ensuring the efficient functioning of our office by supporting day-to-day administrative tasks. You will work closely with our team to manage office operations, maintain records, assist with customer inquiries, and help streamline internal processes. Your attention to detail, organizational skills, and ability to multitask will be crucial in this role.
Key Responsibilities:
Manage incoming calls, emails, and customer inquiries in a professional and timely manner.
Handle scheduling and coordinate appointments for service technicians and office staff.
Maintain office supplies and order inventory as needed.
Assist with billing, invoicing, and processing payments.
Support the accounting team with data entry and preparation of financial documents.
Prepare and maintain customer records, ensuring all information is accurate and up-to-date.
Assist with the preparation of proposals, invoices, and contracts for clients.
Coordinate with vendors, contractors, and suppliers for procurement of materials and services.
Help maintain office organization, ensuring a clean and efficient work environment.
Support management with various administrative tasks as required.
Qualifications:
High school diploma or equivalent (Associate's or Bachelor's degree in Business Administration or related field is a plus).
Previous experience in an office administrative role preferred (ideally in a construction or service-based industry).
Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook).
Experience with office management software or customer relationship management (CRM) systems is a plus.
Excellent organizational and time-management skills with the ability to prioritize tasks effectively.
Strong written and verbal communication skills.
Ability to work independently and as part of a team.
Attention to detail and problem-solving abilities.

Position Type: In-person, Full-Time
Hours: Monday through Friday, 7:30 AM – 5:00 PM
